As we become more and more technologically advanced we have moved into an era where “paperless” seems to be the most desirable way to handle our businesses…both personal and professional. Yet somehow instructions for keeping our paperless documents straight got lost in the shuffle. How many emails are hanging around in your inbox? If you have more than 50 you should know exactly what I’m talking about. How many documents are saved to your computer desktop or stashed indiscriminately into your Documents folder.
Some people have been able to keep their actual papers in a nice orderly fashion while their electronic documents become overwhelming. Have no fear hope is here!
Electronic documents should be treated exactly the same way as your paper.
Only touch it once whenever possible.
Establish logical folders for all of your electronic files…including your email
Purge unnecessary documents as they become obsolete
These electronic files require the same maintenance and dedication as your filing cabinet, just because they aren’t bulging from the drawers doesn’t mean they aren’t sucking your energy…from both you and your computer.
Buying an external hard drive for these unnecessary documents is the same thing as renting a storage unit for your high school mums and Kindergarten artwork…it just isn’t necessary. There are times when such a piece of equipment is a wise choice, but you will know.
